20 Stories in 12 Hours: The Art of the Trade Show Headshot Marathon
Trade shows are a whirlwind of networking, tight schedules, and high-stakes meetings. For a company bringing its global team together in one place, it is often the only window of opportunity to update their visual branding. A few years ago, I was given a unique challenge: provide 20 distinct, individualized professional portraits over the course of a single 12-hour day during at event at the Seattle Convention Center. Luckily, their office was within walking distance.
The goal wasn't just to produce a "volume" of headshots; it was about creating emotional photostories for each individual, ensuring they walked away with a marketable image that reflected their unique professional caliber.
The Rhythm of the Day: From Quiet Moments to High Urgency
Working on-site during a trade show requires a specific kind of adaptability. The schedule is rarely a straight line. I spent portions of the day in a "relaxed pace"—sitting with a book, moving lighting around, and preparing for the next subject.
Then, the floor would shift.
Suddenly, a group of executives would arrive at once, held up by client meetings and left with only a short window before their next presentation. This is where my easy-going nature becomes an essential part of the toolkit. In those rushed moments, my job is to lower the stress and allow the subject to feel relaxed and authentic, even when they are watching the clock.
Beyond the "Conveyor Belt" Headshot
What made this assignment fun was the diversity of the people. I met professionals from across the country and around the world, each with a different story and a different personality to project.
Even while I am moving quickly, I try to conveyor belt feel, my approach is rooted in documentary-style that shows up even when everything about the image is controlled – I am looking for the flash of real expression and personality. By blending technical control with a storytelling emphasis, we were able to create 20 distinct portraits that didn't look like they were taken in a rush—they looked like they were taken with intention.
Why On-Site Portraits Matter for Your Team
Capturing your team’s portraits during a trade show or convention is a logistical masterstroke. It ensures brand consistency across your entire global roster without the need for 20 separate studio appointments.
Whether the pace is slow and contemplative or fast and urgent, I thrive on the challenge of documenting the people behind the business. I love the balance of the wait and the rush—but most of all, I love meeting the people who make these industries move.
